You could just email a Word document, from a template, all around and either use the date stamp or some sort of code so people know when it has been updated. Looking at Microsoft Office there is a function called "Skydrive" that saves things in the cloud so they can be shared remotely. I have no experience with it but it's probably what you are looking for. There are other such things out there, too. You could maybe even use Flickr or something, even though those are based on pics.

On my contract, it states I 'must work 35 hours per week, during the core hours of 8:30am - 5pm (1 hour lunch)'.. . We have two flexible working policies. The first one is not available to everyone and this requires agreement by the company and a change in your contract, such as if you have children and you wish to do an extra hour during the week to have a shorter day on Friday. It's a completely new contract.. . The second one, is available to everyone and it allows us to use extra time accrued to take days off, early starts and early finishes at 'managerial discretion'. We 'key in' and out of work using a security pass which logs the times for us. It's a brilliant premise which ensures people who work longer can benefit.. . My employer now insists that I do 7 hours a day (35/5=7) and that I come to work at the latest time of 9:30am. If I come in past this time, I am threatened with disciplinary action for being 'late'. They are basically telling me that I must come in at 9am and leave at 5pm. On one day, I slept in and didn't arrive until half 10. My senior manager wasn't happy but I had already worked the hours anyways. Yet, I was seen as being 'problematic' and 'unprofessional'.. . My interpretation of my contract is that I can work my 35 hours during these core times, so I could come to work at 8:30am and leave at 5pm which would give me a working day of 7 and a half hours. If I do this Monday-Thursday, I could then leave at 2:30pm on Friday as I have completed my 35 hour contract. My employer won't let me.
